Business Dashboard
Stay focused on the big picture as you monitor the performance of your business using the new ArchiOffice v8 dashboard. This administrative view allows you to see at a glance how your business is performing. Charts can display Receivables/Aging, Billing Hours, Monthly Invoicing, Billing Efficiency and Profitability, and can be customized to display information for only a given Project and / or Employee. The charts can be re-arranged, printed, expanded to full screen or updated with the latest real-time information on demand.
Your Home
Get on top of your day with a single glance at Your Home in the Advanced View. This view presents information relevant to only you and your day. It includes a list of your Contacts, the Projects that you are an active team member on, your Time and Expense slips for today, your Appointments or Milestones due today, and your To Do items that are due today or have carried over from prior days. Access the details on any of these items by simply clicking on them and you are on your way.
Navigational Menus and Keyboard Shortcuts
Now you can navigate within ArchiOffice and perform most common functions using only your keyboard. This is one of our favorite features because it allows the user to navigate far more quickly within ArchiOffice when compared to using the mouse.
More Powerful Data Mining Capabilities
ArchiOffice v8 has a more powerful data mining capability with enhanced Search Requests throughout the system. Now in any module you can define an unlimited number of queries before executing them, providing for an unlimited degree of flexibility. You can return to your previously specified set of Search Requests (Refind), page through them, add / delete complete requests, and then execute the search again.
Contact and Project Notes
Now you can stay organized by entering an unlimited number of Contact or Project related Notes. No more using sticky notes or Word documents to track phone calls or general notes. Now they can be entered, searched, filtered and printed.
Internal, RFP or Billable Project Types
Now ArchiOffice enables you to create Billable, RFP and Internal Projects. Track all your general office activities using an Internal Project. Also, now you can create RFP (Request for Proposal), projects that can have their own default Phases, Job Codes, Milestones and Master Checklists, so you can get on that opportunity quickly and efficiently.
Project Teams
Now you can create an unlimited number of Project Teams for specific types of Projects. Teams are comprised of Employees, their Roles, Billing Rates and Slip Approval authority. Now an entire team of employees can be added to a Project in one step.
Custom Project Performance Charts
Stay on top of your Projects using the new Project Performance Charts. Charts can display Receivables/Aging, Billing Hours, Monthly Invoicing, Billing Efficiency and Profitability, and can be customized to display information for only a given Employee. The customized chart settings can be saved for future use allowing for an unlimited number of customized charts for every Project. The charts can be updated with the latest real-time information on demand.
Project / RFP Milestones
Now ArchiOffice Projects support Milestones, key dates that the team needs to meet. You can load Master Project / RFP Milestones in one step or individually, and define an unlimited number for use in the system. Milestones can also be sent to our external application (Outlook/Entourage/iCal), just like normal To Dos, Appointments or Meetings.
Powerful Task Management Capabilities
Task management has now be greatly enhanced in the new ArchiOffice. Not only can you load your Master Tasks that have been predefined in one step, but you can load them one phase at a time as well. You can add an unlimited number of Tasks and easily re-arrange the order. Each Task can also be given a Duration, thereby providing for accurate progress monitoring. You can also assign multiple Employees to any given Task.
Project Marketing Materials
Now you can track important Project related data including Photos, Publications, Awards and Team Bios, and export this data, including images, into an unlimited number of customizable Word templates.
Generate Word or PDF Invoices
Now you can generate Invoices either as a PDF document, or as a Word document using customizable Word templates. Customizing the Word templates is easy, allowing you to change the appearance of your Invoice including fonts and colors. Word Invoices can also be edited in Word after rendering, providing for unlimited flexibility.
Time Card and Expense Card View
Enter Time and Expense slips quickly using the new Time Card and Expense Card Views. This view allows the user to enter slips fast and monitor their totals including efficiency for the given work week. Individual entries can be quickly modified and data can be filtered by day with a simple click. The view can be printed providing a permanent record of the user's weekly Time or Expense Card.
Integration with Microsoft Outlook
ArchiOffice Contacts, Emails and Events are now fully integrated with Microsoft Outlook 2002+. Sync your ArchiOffice with your Outlook, receive new emails into ArchiOffice from your Outlook, make changes in Outlook and have them appear in ArchiOffice, make changes in your ArchiOffice and have them appear in your Outlook.
Integration with Microsoft Entourage
ArchiOffice Contacts, Emails and Events are now fully integrated with Microsoft Entourage XP+. Sync your ArchiOffice with your Entourage, receive new emails into ArchiOffice from your Entourage, make changes in Entourage and have them appear in ArchiOffice, make changes in your ArchiOffice and have them appear in your Entourage.
Integration with Apple iCal / Mail / Address Book
ArchiOffice Contacts, Emails and Events are now fully integrated with Apple's iCal, Mail and Address Book. Sync your ArchiOffice with your Apple applications, receive new emails into ArchiOffice from your Apple Mail, make changes in your Apple applications and have them appear in ArchiOffice, make changes in your ArchiOffice and have them appear in your Apple applications.
Enhanced Integration with Microsoft Office
The integration with Microsoft Office has now been enhanced. In addition to creating new documents from an unlimited number of customizable Word or Excel templates, ArchiOffice can now also merge Project Data into documents including images. This provides the user with a convenient way to extract large amounts of data from ArchiOffice in a presentation ready format.
PDA Synchronization
Regardless what PDA you have or buy tomorrow , as long as it can synchronize to Microsoft Outlook, Microsoft Entourage, Apple iCal, Apple Mail or Apple Address Book, you will always have all your ArchiOffice Contacts, Events and Emails with you.
User Workgroups
Now you can create an unlimited number of User Workgroups, complete with Security settings and Reporting privileges. Assign a User to a Workgroup and they inherit all the settings in one step.
Improved Security Model
ArchiOffice now has an improved security model which will allow the active FileMaker user to open other FileMaker files at the same time as ArchiOffice. While running other FileMaker files the full FileMaker menus and features will be enabled. Returning to ArchiOffice will again enable the custom ArchiOffice menus and keyboard shortcuts.
Improved Performance and Scalability
ArchiOffice v8 is now running with the latest FileMaker Pro v8 client and FileMaker Server v8 software. Boasting dramatically improved performance, the new ArchiOffice can take full advantage of the server and client's hardware configuration. As well, the new version of ArchiOffice provides for unlimited storage capacity (only limited by physical hard disk space).
Custom Reports
Now you can build custom Reports and save them for later, greatly simplifying your reporting tasks. You can even share a custom report you designed with everyone, or keep it private for just your use. Custom Reports can also be filtered so that you can quickly locate the one you need.
Enhanced Document Management System
The new ArchiOffice boasts an enhanced Document Management System that includes the ability to move files / folders, duplicate files / folders, and link to existing files / folders.
Link to Existing Documents
Now you can link to an existing directory of documents, enabling those documents to be added to ArchiOffice but not physically be relocated. This is particularly important for files having links or inter-document-dependencies such as found in large CAD archives with many firms. Now your existing filing structure can be preserved.
Assemble PDF Documents
An advanced PDF assembly feature now allows you to combine an unlimited number of existing PDFs in any combination, and then produce a single new multi-page PDF. You can even save your PDF configurations as a template for future use, allowing you to quickly build proposals, briefs or marketing materials.
